Role Overview
The Executive Assistant (EA) acts as the main operational partner to the business owner, handling executive calendar management, email correspondence, daily workflows, and general administrative duties. Reporting directly to the Founder, this position involves establishing organized systems to enhance executive efficiency and support vital initiatives such as launching AIO Kids.
Key Responsibilities
- Manage the founder's calendar and daily schedule, prioritizing commitments effectively.
- Coordinate meetings and appointments, balancing conflicting priorities.
- Organize and prepare meetings with relevant participants and comprehensive information.
- Provide timely reminders for important deadlines, meetings, and obligations.
- Maintain an inbox by prioritizing emails, identifying urgent matters, drafting responses, and ensuring timely follow-ups.
- Facilitate coordination of internal and external meetings, including preparation of agendas, summaries, and capturing key actions.
- Streamline business workflows by organizing priorities, tasks, deadlines, and outstanding activities.
- Create and maintain systems and digital filing to enhance operational efficiency.
- Support content initiatives by organizing resources, tracking timelines, and assisting communication efforts.
- Prepare documents such as summaries, templates, and business correspondence, maintaining trackers and assisting with research as needed.
Required Qualifications
- Previous experience in roles such as Executive Assistant, Personal Assistant, or Senior Virtual Assistant.
- Excellent organizational and time management skills with strong calendar and inbox handling capabilities.
- Effective written and verbal communication in English.
- High attention to detail and ability to multitask efficiently.
- Self-driven and confident working remotely with a proactive mindset.
- Proficient digital and technological competencies.
- Capable of handling confidential information discreetly and supporting a dynamic business leader.
Preferred Attributes
- Background supporting senior executives or founders directly.
- Experience coordinating content, digital projects, or product launches.
- Strong skills in document creation and presentations.
- Familiarity with AI tools to boost administrative efficiency.
- Experience designing workflows, templates, and administrative systems.
