Job Overview
We are searching for a seasoned Document Controller experienced in managing project documentation for major infrastructure projects. This role is pivotal in organizing and coordinating document workflows across nationally significant design and build projects in sectors such as metro, aviation, rail, water, and highways throughout Ireland.
Role Responsibilities
- Oversee document control procedures and systems to guarantee precise and prompt management of project information.
- Handle receipt, distribution, and archiving of project documents according to established protocols.
- Maintain comprehensive document registers, tracking metadata to ensure full traceability.
- Manage version control and communicate document status clearly to stakeholders.
- Support the deployment and administration of document management platforms, including CDE tools like Aconex and SharePoint.
- Verify that documentation adheres to project naming standards and compliance requirements.
- Coordinate end-to-end workflows for reviewing, approving, and disseminating documents.
- Provide assistance to project teams and contractors on correct document system usage.
- Contribute to audit and quality assurance efforts related to project information management.
- Facilitate archiving and final handover of project documentation in accordance with project demands.
- Assist with governance and reporting on document control performance metrics.
- Advocate for continuous improvement and industry best practices in information management.
Candidate Profile
- Proven experience in document control or information management within infrastructure or construction sectors such as metro, aviation, rail, water, and highway projects.
- Deep knowledge of document control workflows, systems, and industry best practices.
- Hands-on experience using common data environments and document management software such as Aconex, SharePoint, ProjectWise, or similar platforms.
- Familiarity with document management standards, naming conventions, and review workflows.
- Meticulous attention to detail with the ability to handle large volumes of documentation accurately.
- Experience supporting audit activities, quality control, and information governance.
- Strong communication and coordination abilities, capable of effective collaboration across diverse teams.
- Organized and proactive with aptitude for managing multiple concurrent priorities and deadlines.
- Understanding of construction and engineering documentation requirements.
- Holds a degree or equivalent qualification in information management, business administration, or a related field.
