Role Overview
We are seeking an Information Manager / Document Controller to join a project team at our site-based office in Kent, SE England. This role reports to both the Project Manager and Administration Manager and involves ensuring all project documentation and site administrative procedures are systematically maintained according to company policies. The successful candidate will collaborate closely with Engineers, Surveyors, Head Office support, clients, and suppliers to facilitate the smooth flow and accurate management of project information throughout its lifecycle.
Responsibilities
- Understand and adhere to project document control standards, escalating any issues or deviations promptly.
- Coordinate with the project team to log, register, stamp, and distribute all correspondence, documents, and drawings effectively.
- Manage both electronic and physical filing systems at the site in compliance with company requirements.
- Prepare and format correspondence, meeting minutes, emails, and reports aligned with company standards.
- Assist in producing reporting documents as needed by the project team.
- Ensure document registers remain current, complete, and accurate throughout the project.
- Generate reports to support project activities when requested.
- Identify potential risks related to document control or information flow and report them.
- Properly reference obsolete or superseded documents while restricting access to them.
- Engage with contractors, subcontractors, and external parties as needed for smooth documentation processes.
- Support the compilation of project handover documentation and client packs by the Project Management Team.
- Maintain a professional and organized site office environment, overseeing office standards and supplies.
- Support project archiving efforts for both electronic and hard copy files upon project completion.
- Provide general administrative support for the site team as required.
Candidate Requirements
- At least 2 years' experience as a Document Controller or Information Manager within the construction industry.
- Familiarity with Electronic Document Management Systems (EDMS) and established document control procedures.
- Proficiency in Microsoft Office suite and general IT applications.
- Strong organizational, planning, and multi-tasking skills with meticulous attention to detail.
- Exceptional written and verbal communication abilities.
- Aptitude to foster strong working relationships with colleagues, clients, and stakeholders.
- Capability to work effectively under pressure while managing various project priorities.
- Professional, confident, and proactive work ethic.
- Calm problem-solving skills in high-pressure situations.
- Keen to contribute to team development and interdepartmental collaboration.
