Job Summary

The Dispatcher & Scheduler is responsible for planning and organizing the daily deployment of personnel, suppliers, and locations to ensure that scheduled tasks are completed promptly and meet quality standards. This position manages the operational schedule, assigns resources to each job, verifies preparedness before the scheduled date, and adapts plans as conditions evolve. Acting as the connection between planning and field execution, the dispatcher serves as the primary contact for daily operational adjustments.

Key Responsibilities

  • Develop and sustain the operational timetable covering all current assignments.
  • Assign staff members, suppliers, and site locations for each planned task.
  • Optimize workload distribution, travel considerations, and operational coverage across teams and geographic regions.
  • Maintain a forward-looking schedule and resolve any scheduling gaps well in advance of execution dates.
  • Continuously track live progress during the day and ensure timely job commencements.
  • Serve as the initial responder to operational issues, escalating per established protocols.
  • Document any delays, absences, or incidents along with their underlying reasons.
  • Confirm completion status for every job at the end of each working day.
  • Keep detailed master records for employees, suppliers, facility locations, and relevant contacts.
  • Log work completion data on the actual day of execution.
  • Generate comprehensive daily and weekly operational status reports.
  • Ensure all documentation is thorough to avoid payment or approval delays.
  • Record all cancellations, rescheduling, and substitutions noting their notification dates.
  • Verify changes against agreed notice requirements and highlight any discrepancies.
  • Assess and record additional costs arising from changes involving suppliers, transportation, and logistics.

Qualifications and Experience

  • Bachelor’s degree in operations, logistics, supply chain management, business administration or a closely related field; a diploma is acceptable if complemented by significant relevant experience.
  • Between three and five years’ professional background in dispatching, scheduling, field operations, logistics coordination, workforce planning, or event management.
  • Proven ability to manage several teams, suppliers, and locations simultaneously.
  • Advanced proficiency in spreadsheet applications, including formula lookups, pivot tables, conditional formatting, and data validation, with skills evaluated during interview.
  • Familiarity with scheduling, ticketing, ERP, or field service software systems.
  • Native-level fluency in Arabic and competent working proficiency in English for reporting and communication.
  • Possession of a valid Saudi driving license.
