Role Overview
Reporting directly to the Operations Manager, the Air Freight Operator plays a key role in assisting a dynamic operations team by performing a variety of operational and administrative tasks. The role requires a highly motivated and detail-oriented individual with relevant experience in operations or transport sectors, focused on delivering excellent customer service and achieving results.
Key Responsibilities
- Coordinating and executing freight support activities using the UAF/ACE systems in collaboration with the team.
- Handling incoming calls and emails, addressing inquiries by liaising appropriately with clients and suppliers.
- Supporting KPI data collection, reporting functions, and managing export operations.
- Building and maintaining effective working relationships with colleagues, customers, and suppliers.
- Supporting health and safety initiatives and ensuring adherence to company policies and best practices.
- Receiving, printing, and verifying shipment documentation for completeness based on client requirements; obtaining missing documents as necessary.
- Managing accounts by overseeing the full freight process from start to finish.
- Requesting airfreight line and carrier charges, sending delivery pre-alerts to transporters, filing, and tracking shipments to ensure timely release.
- Daily monitoring of estimated time of arrivals (ETAs) and updating shipment statuses accurately.
- Confirming shipment dates with carriers and co-loaders, ensuring precise and reliable information.
- Providing frequent updates via telephone to customers regarding shipment status and documentation requests.
- Assisting with general administrative duties across air and ocean freight teams.
Required Qualifications and Skills
- Prior experience in a freight forwarding environment is essential.
- Proven ability to manage multiple deadlines efficiently and work independently.
- Exceptional attention to detail and accuracy in all tasks.
- Proficient user of Microsoft Office with strong reporting capabilities.
- Excellent written and verbal communication skills.
- Experience in collaborating with customers, suppliers, and carriers.
- Competence in shipment coordination and ETA monitoring.
- Strong work ethic; ability to work both as an individual contributor and a team member.
- Outstanding customer service skills.
- Self-driven with a determination to meet objectives and targets.
