Job description

Overview

We are seeking a Document Controller for deployment on-site in Hyderabad, India, to support a major brownfield laboratory infrastructure project in the bio-pharmaceutical sector. This full-time role involves maintaining and controlling documentation flow across MEP, HVAC, electrical, plumbing, fire protection, civil, cleanroom, vendor, quality, commissioning, and handover workstreams. The candidate will work closely with project leadership, engineering, vendors, and clients in a structured environment governed by strict regulatory requirements.

Key Responsibilities

  • Receive, register, categorize, distribute, track, and archive all project documents including drawings, models, correspondence, and technical records.
  • Manage drawing control logs ensuring current approved or issued-for-construction documents are accessible while properly archiving obsolete versions.
  • Administer the preparation, issuance, tracking, and closure of transmittals following project procedures.
  • Operate and maintain the Electronic Document Management System (EDMS) such as SharePoint, Aconex, Procore, Autodesk Construction Cloud/BIM 360, or similar client portals.
  • Log, route, monitor, and report on RFIs, technical submittals, material approvals, method statements, change documentation, and related documentation workflows.
  • Track vendor and subcontractor document submissions, verify completeness, and ensure follow-up on pending or rejected documents.
  • Coordinate quality and handover documentation including inspection records, material certificates, test reports, commissioning documents, and turnover packages.
  • Prepare and present document status reports, overdue action lists, RFI and submittal registers, transmittal summaries, and weekly updates to project and client stakeholders.
  • Engage proactively with engineering, construction, quality control, procurement, vendors, consultants, and clients to maintain timely document flows.
  • Ensure high onsite presence, responding promptly to document requests critical to construction, approvals, inspections, commissioning, or handover activities.

Project Environment

  • Documentation for pharmaceutical, bio-chemical, laboratory, healthcare, and other regulated project environments.
  • Document control of brownfield retrofit and expansion involving MEP packages such as HVAC, electrical, plumbing, fire protection, civil, and cleanroom systems.
  • Handling large volumes of revision-sensitive documents including drawings, vendor submissions, approvals, RFIs, inspections, testing, commissioning, and handover documents.
  • Coordinating among multiple stakeholders such as clients, project managers, engineers, contractors, vendors, consultants, quality personnel, and onsite teams.

Required Qualifications and Experience

  • 5 to 8 years of relevant document control experience in EPC, construction, MEP contracting, engineering consulting, industrial projects, laboratory infrastructure, or cleanroom settings.
  • Mandatory exposure to pharmaceutical, bio-chemical, laboratory, or healthcare project environments.
  • Skilled in document register management, drawing and revision control, transmittal administration, RFI and submittal tracking, and vendor document control procedures.
  • Proficient in Electronic Document Management Systems such as SharePoint, Aconex, Procore, Autodesk Construction Cloud/BIM 360, or equivalents.
  • Familiarity with AutoCAD and Revit document packages, including drawing numbering, status codes, revisions, and transmittal workflows (design or drafting skills not required).
  • Experience managing quality and handover records including material certificates, inspection reports, test documentation, commissioning records, and turnover packages.
  • Strong communication skills in English, keen attention to detail, disciplined follow-up, organized work habits, and ability to collaborate with multiple stakeholders efficiently.
  • Current residence in Hyderabad or willingness to relocate promptly and commit to full-time onsite work six days a week.
  • Bachelor's degree or diploma in Engineering, Information Management, Science, or related fields is mandatory.

Preferred Skills and Knowledge

  • Experience with pharmaceutical and bio-pharmaceutical EPC projects, laboratory, cleanroom, or regulated healthcare documentation control.
  • Understanding of MEP drawing control involving HVAC, electrical, plumbing, fire protection, civil and cleanroom disciplines.
  • Exposure to validation and compliance documentation such as IQ/OQ/PQ, FAT/SAT, turnover packages, material test certificates, validation files, GMP-related documentation, audit trails, and commissioning/qualification records.
  • Knowledge of ISO 9001 quality management systems, controlled document practices, and project audit readiness requirements.

Key Performance Indicators (KPIs)

  • Maintain precise and current registers for documents, drawings, transmittals, RFIs, and submittals.
  • Ensure availability of approved document revisions to all relevant stakeholders and properly archive superseded versions.
  • Log and route incoming documents within agreed timelines, generally within one business day of receipt.
  • Submit weekly reports on document status, overdue actions, and dashboard overviews within set deadlines.
  • Keep project documents indexed, retrievable, and traceable to support audits, commissioning, and handover.
  • Promptly escalate overdue submissions and bottlenecks to project leadership to mitigate document control risks.

  • Annual base salary between ₹10,00,000 and ₹12,00,000 depending on experience and skills.
