Job description
Position Overview
The University of Crete's Connectivity & Career Structure is seeking a dedicated Space Administrator & Program Facilitator. This person will care for the hub space while actively participating in program implementation—balancing practical management with interpersonal communication. The role involves ensuring the smooth everyday operation of the space for the team and hosted activities, while serving as the organization's representative during program facilitation, greeting and coordinating participants. Training on methodologies will be provided, but a passion for organization, communication skills, and a hands-on approach are essential.
Key Responsibilities
- Maintain and organize the space located in the Lakkos area of central Heraklion, ensuring it is fully operational, tidy, and welcoming. Manage consumable orders and daily practical issues.
- Coordinate repairs, maintenance, or improvements by liaising with technicians and suppliers.
- Configure the physical environment for events, workshops, and meetings by arranging furniture, setting up presentation equipment, and managing catering as needed.
- Oversee and support events hosted in the space, including those occurring on weekends, respecting all legal employment regulations and compensations.
- Actively facilitate programs both online and in-person, welcoming attendees, managing flow, and supporting participants mainly during afternoon hours.
- Provide technical support for digital sessions using platforms like Zoom (e.g., handling breakout rooms, polls), ensuring seamless virtual experiences.
Required Knowledge and Experience
- Familiarity with online collaboration and educational tools such as Zoom, Google Workspace, Slack, and Asana.
- Exceptional proficiency in both written and spoken Greek and English.
- Desirable: Experience in team coordination, facilitation, or public speaking/presentation.
- Desirable: Practical experience in facility or office management or event organization.
