Role Overview
We seek a proactive and well-organized Project Administrator and Document Controller to support Project Managers by handling project management duties. Core tasks include monitoring and maintaining the project financial forecast, ensuring accurate posting of actual costs, managing project documents, tracking invoicing progress against billing plans, and reporting any discrepancies.
Key Responsibilities
- Gather data to assist Project Managers and Supervisors in making informed decisions.
- Monitor the project schedule to maintain and update the project plan, alerting Project Managers to updates needed.
- Support Project Managers and Supervisors with customer correspondence, securing timely approvals and signatures, preparing necessary documents for stakeholders, and ensuring accurate archiving.
- Oversee invoicing versus billing plan status and report deviations.
- Verify collections, prepare deviation reports, status updates for forecast reviews, and communicate with customers when issues arise.
- Update and monitor cost forecasts by integrating actual costs and incoming invoices.
- Manage project logistics requests and support coordination with Logistics Coordinator.
- Prepare revenue and cost plan status information for forecasting discussions.
- Administer change orders and variation sales documentation.
- Handle contract and scope-related claims in coordination with Project Managers, managing and tracking customer communications and documentation.
- Develop and maintain a comprehensive document management system that oversees document creation, review, and version control throughout their lifecycle.
Candidate Profile
- Holder of a Bachelor’s degree in Business Administration.
- 3 to 5 years of experience in a comparable role.
- Excellent communication, coordination, and follow-up capabilities.
- Proficient in Microsoft Office, especially MS Excel.
- Mandatory experience with SAP systems.
- Fluency in both Arabic and English.
