CSI Global is a prominent engineering and technical services company specializing in Testing, Adjusting & Balancing (TAB), Testing & Commissioning (Cx), Independent Commissioning Authority (ICA), MEP diagnostics, and engineering services across the GCC and international markets.
Position Overview
We are seeking a meticulous and well-organized Document Controller to assist our project and engineering teams. This role entails maintaining accurate control, tracking, filing, distribution, and retrieval of all project-related documentation.
Key Responsibilities
- Oversee project documentation management including technical, engineering, commercial, and administrative files.
- Log, classify, distribute, and monitor incoming and outgoing documents.
- Maintain precise records such as document registers, logs, transmittals, and revision histories.
- Ensure documents are correctly numbered, labeled, formatted, and filed in compliance with company and project protocols.
- Manage document revisions, guaranteeing availability of the latest approved versions to project personnel.
- Coordinate document exchange among CSI, clients, consultants, contractors, and other stakeholders.
- Prepare and distribute document transmittals for project deliverables like drawings, reports, technical submissions, and inspection documents.
- Monitor document review and approval stages, following up on pending submissions.
- Maintain both electronic and physical filing systems for quick accessibility.
- Assist project teams with documentation for inspections, testing, commissioning, and project closure.
- Keep records of RFIs, submittals, technical reports, drawings, approvals, correspondence, and meeting minutes.
- Identify and archive outdated or superseded documents appropriately.
- Help prepare final project documentation for handover and closeout.
- Ensure compliance with CSI procedures, client requirements, and project-specific document control standards.
- Collaborate with project teams to spot missing, incomplete, or overdue documents.
- Generate routine document control reports and update project management.
- Maintain confidentiality and integrity of sensitive project information.
- Perform additional document control and administrative tasks as assigned by management.
Qualifications and Experience
- Diploma or Bachelor's degree in Business Administration, Information Management, Engineering, or related disciplines.
- Minimum of three years’ experience in document control, preferably in MEP, construction, engineering, testing & commissioning, or infrastructure sectors.
- Solid knowledge of document control workflows and managing project documentation.
- Experience handling document registers, transmittal processes, revision control, and document tracking tools.
- Proficient in Microsoft Excel and Word.
- Familiarity with document management platforms such as SharePoint, Aconex, Autodesk Construction Cloud, Procore, or equivalents is advantageous.
- Strong English communication skills, both written and spoken.
- Exceptional attention to detail alongside excellent organizational capabilities.
- Effective multitasking skills to manage numerous documents and deadlines in a dynamic project environment.
Preferred Skills
- Understanding of MEP and Testing & Commissioning documentation requirements.
- Knowledge of engineering drawings, technical reports, inspection data, and commissioning documents.
- Experience collaborating with consultants, contractors, and clients.
- Ability to follow up effectively and coordinate across teams.
- Capability to work independently and collaboratively within multidisciplinary teams.
- Familiarity with document numbering systems and project filing conventions.
