Role Overview
The Admin & Procurement Officer, reporting to the Operations Manager, is a mid-level position providing comprehensive administrative support and managing procurement and vendor relations to ensure smooth daily office functions and operational excellence.
Key Responsibilities
Administrative Support & Management (40%)
- Oversee support staff including drivers, receptionists, cleaners, and security personnel to ensure coordination and effective job performance
- Collaborate with the Communications Manager to plan and execute company events
- Assist the Digital Transformation Team with procurement of laptops and tablets for staff onboarding
- Coordinate with security to uphold office safety, security, and health protocols
- Provide administrative assistance to management such as drafting correspondence, arranging meetings, and document filing
- Develop and maintain a centralized filing system, both digital and physical, for the entire company
Asset Management & Logistics (30%)
- Manage office operations across all company locations including Kigali, Musanze, and six refugee camp offices
- Administer company non-technology assets including acquisition, tagging, maintenance, and disposal processes
- Ensure company vehicles have valid inspections, are insured, and properly maintained in collaboration with the Head Driver
- Organize staff travel logistics and schedule trips accordingly
Procurement & Vendor Management (30%)
- Handle procurement processes in line with organizational operational procedures
- Manage supplier relationships, negotiate services for quality assurance, verify invoices and deliveries before payments
- Maintain adequate office supplies and stationery within the approved budget
- Prepare payment requisitions for approval and update supplier databases regularly
Candidate Profile and Qualifications
- Possession of an undergraduate degree, preferably in procurement or management
- Minimum of three years of experience in office management, procurement, or related functions
- Strong organizational and professional writing capabilities
- Proficiency in G-suite and Microsoft Office applications including Word and Excel
- Experience with general administrative duties such as filing, copying, and letter drafting
- A proactive approach with meticulous attention to detail
- Capability to maintain absolute confidentiality and discretion due to the sensitive nature of the role
- Fluency in spoken and written English and Kinyarwanda
