Role Overview

The Project Document Controller will report to the Project Lead and take responsibility for setting up, administering, and maintaining the project document management system. Key Responsibilities

  • Handle the movement of project documents between the client and internal users while following strict security protocols.
  • Set up and manage the file control and archiving structure in accordance with recognised information management standards.
  • Assist system users so they understand the relevant system functions and workflow requirements.
  • Maintain both digital and physical document archives, ensuring records management practices comply with policies, legal obligations, and good governance.
  • Process requests for document retrieval in a timely and accurate manner.
  • Carry out regular audits to confirm that document control procedures are being followed.
  • Coordinate and liaise with management and project stakeholders as required.
  • Prepare monthly document analytics reports based on agreed KPIs, with attention to quality and performance.
  • Support the preparation of monthly project reports.
  • Provide technical administrative assistance to the project team.

Candidate Requirements

  • A diploma in Engineering or a technology-related discipline.
  • At least 3 years of experience in document control.
  • Experience handling large and complex projects will be considered an advantage.
  • Strong working knowledge of Excel, Word, SharePoint, and PowerPoint.
  • Highly organised and methodical in approach.
