Role Summary
The Executive Assistant will be based in Toronto and will play a central role on the team. The position supports three executives across North America—one in Montreal and two in New York City—with responsibilities divided evenly among them. In addition, the role provides occasional support to two other members of the Portage venture investment team.
Working closely with the principals, the successful candidate will coordinate calendars, meetings, travel, projects, events, and CRM updates, while also acting as a strong partner as the team’s scope grows.
The compensation range for this role is CAD$80,000 to CAD$115,000.
Key Duties
This role involves managing the day-to-day needs of three executives and their teams, including handling complex schedules, arranging internal and external meetings across time zones, and coordinating with other executive assistants when required.
You will serve as a main point of contact and a trusted filter for the executives, dealing with vendors, clients, colleagues, and other stakeholders, while sorting, prioritizing, and redirecting incoming requests and messages as needed.
Travel planning is a major part of the job and includes organizing both domestic and international trips, as well as preparing, checking, and submitting expense claims in Concur.
The role also includes coordinating conference participation for executives, covering registration, travel, materials, and branded items, along with helping plan and run team events.
In the office, you will partner with the Office Coordinator on logistics such as meetings, catering, conference room setup, and printing. When the Office Coordinator is away, you will step in as the primary backup and take full ownership of office operations and on-site coordination.
You will use Affinity and DealCloud to research people and companies, maintain records, and capture notes and meeting activity. The position also calls for using AI and productivity tools to improve efficiency and streamline work.
Additional support may be required for the wider team and EA group, including scheduling, logistics, meeting notes, proofreading, and follow-up actions from weekly team meetings.
Qualifications
The ideal candidate brings 3 to 5 years of experience in administrative support, executive assistance, or team coordination. Experience in venture capital or financial services would be an advantage.
Strong organization and time management are essential, along with the ability to juggle several priorities and deadlines at once.
Attention to detail is critical, as is the ability to manage sensitive and confidential information with care and discretion.
You should also have excellent written and verbal communication skills, be comfortable using Google Suite and virtual meeting tools such as Zoom or Microsoft Teams, and work well with different teams and stakeholders.
A proactive mindset, resourcefulness, and the ability to perform effectively in a fast-moving, changing environment are important for success in this role.
