Program & Project Manager

Role overview

IMPAXX is hiring a remote Program & Project Manager in the United States to lead the rollout of a new case management platform while also driving a wider mix of business and technology initiatives. This position combines direct system implementation work with program oversight and cross-functional project leadership, ensuring that business priorities are translated into effective technology outcomes.

The role calls for a professional who can shape structure and governance, guide execution across multiple efforts, engage stakeholders at different levels, and keep delivery on track. Strong planning, communication, coordination, and customer service skills are essential, along with the ability to work across business teams, IT, and external partners.

Primary duties

• Own the full implementation lifecycle for the new case management system, including planning, requirement discovery, process design, configuration oversight, stakeholder coordination, testing, launch, and post-launch improvements.
• Set up the program framework, including governance, timelines, milestones, and success measures for the system initiative.
• Work with business leaders, IT teams, and vendors to make sure the solution supports operational requirements and strategic objectives.
• Spot opportunities to improve processes, automate work, and apply best practices that strengthen system performance.
• Drive several business and technology projects at the same time, balancing priorities, resourcing, and delivery deadlines.
• Build and maintain project plans, schedules, risk trackers, and progress reports across active initiatives.
• Partner with IT leadership to support the technology roadmap and manage dependencies across cross-functional workstreams.
• Oversee software implementation, system enhancements, and lifecycle activities for the current case management platform and other business applications.
• Run the enhancement intake process by evaluating requests, collecting stakeholder input, prioritizing work, and tracking items through completion.
• Prepare and maintain business requirements documents and functional specification materials.
• Act as the main connector between business stakeholders, IT, and vendors to keep communication clear and delivery moving smoothly.
• Coordinate and lead user acceptance testing to confirm functionality and business readiness.
• Manage change management efforts, including communications, training support, and adoption planning.

Qualifications

• A bachelor’s degree or an equivalent mix of education and experience is needed.
• At least 5 to 7 years of experience in project or program management, with exposure to software or IT-related work.
• Proven ability to handle multiple initiatives at once while balancing priorities and coordinating resources.
• Experience working closely with cross-functional groups such as business users, IT teams, and vendors.
• Strong proficiency with Microsoft Office.
• Solid understanding of project management methods; PMP certification is not mandatory.
• Hands-on experience with tools such as Jira, Smartsheet, MS Project, Azure DevOps, or similar platforms.
• Experience planning and leading user acceptance testing.
• Knowledge of the software development life cycle is beneficial.
• Excellent written and verbal communication abilities.
• Strong judgment, organization, and decision-making skills.
• Ability to complete work with limited supervision.
• High professional presence and a polished, dependable approach.
• Capacity to interact respectfully and effectively while delivering excellent service to both internal and external stakeholders.
