Role overview
Vuori is looking for a highly organized and detail-focused Sample Coordinator to oversee sample management for both eCommerce studio and lifestyle productions. In this role, you will help prepare, organize, track, and maintain product samples used for photo shoots, while partnering with the Creative Producer, Creative Operations, and Product Marketing teams. The position supports the full process from pre-production through shoot execution, including sample pulling, data tracking, closet organization, and on-set assistance.
Key duties
- Organize and manage product samples for eCommerce and lifestyle photo shoots, including pulling, tagging, steaming, and returning items to stock.
- Work alongside Creative and Product Marketing teams to support seasonal style-outs, create shot lists, and confirm product availability.
- Monitor sample movement by checking in new arrivals, recording damaged or missing pieces, and arranging replenishment orders when needed.
- Keep the sample closet orderly and clean, with items sorted and stored by product type and season.
- Partner with internal teams to identify carryover styles and track their usage and availability across campaigns.
- Support eComm, lifestyle, and seasonal shoots on set by helping with styling prep, organization, and fast sample swaps.
- Keep both digital and physical sample records current and assist in maintaining accurate product and shoot information in internal systems.
- Look for ways to improve archiving and tracking processes so production workflows run more efficiently.
- Work with a proactive, helpful mindset and be ready to step in where support is needed across the broader team.
- Coordinate catalog shoots, manage the pull list, and serve as the on-set contact for sample-related questions or needs.
- Handle studio email asset and acquisition shoots, including coordination and support.
- Assist with other studio photo shoots as required.
- Prepare, pack, tag, and organize samples for domestic and international shoots, including carnet and customs paperwork.
Qualifications
- A bachelor’s degree or an equivalent amount of relevant experience is preferred.
- At least 1 year of experience in sample coordination, wardrobe, production, or fashion merchandising in a creative or retail setting.
- Excellent organization and precision, with the ability to juggle several priorities at once.
- Exposure to product archiving or inventory management systems is beneficial.
- Strong written and verbal communication skills with a professional approach.
- A collaborative attitude and readiness to take on varied responsibilities.
- Understanding of apparel categories and photo production workflows.
- Ability to lift, transport, and care for clothing and accessories on a regular basis.
