Role Overview

This full-time, on-site administrative role is based in Riyadh, Saudi Arabia and supports delivery center operations, facilities, vendor coordination, compliance tracking, and general admin activities.

Key Responsibilities

  • Oversee facility operations for the delivery center and coordinate with the facility management partner to maintain smooth day-to-day functioning.
  • Handle seat allocation, along with tagging and removal of seat tags based on project needs and RMG approvals.
  • Manage vendor relationships, evaluate vendor performance, and coordinate timely vendor payments through ARIBA.
  • Work with Finance on annual and quarterly budget forecasts for Opex and Capex planning.
  • Carry out monthly manual provisioning tasks and maintain Open PO records until final closure after obtaining NDC from vendors.
  • Prepare and submit monthly and quarterly reports for corporate budget planning.
  • Support audit readiness by organizing and retaining required documents and artifacts.
  • Administer facility lease activities, including system setup and annual payment processing through the LMS system.
  • Track contract renewals, AMC timelines, and preventive maintenance schedules; upload PM reports to the portal.
  • Ensure admin requests are resolved within SLA and that GHD tickets are closed properly in the system.
  • Ask associates to raise tickets for admin support needs, especially for access creation and access revocation.
  • Assist with HSE safety training activities and conduct periodic fire evacuation drills.
  • Update AOPD whenever changes occur and once annually, then obtain approval from the Admin Head.
  • Prepare BOQs for floating RFPs for branch PNCs.
  • Coordinate with the PNC team and vendors to circulate TEAMS meeting invites for PNC sessions.
  • Compile rate comparisons, identify the L1 vendor, and prepare the PNC note.
  • Define O&M scope along with activity lists and SLA expectations.
  • Communicate with stakeholders and support annual power shutdown activities in coordination with the facility management company.
  • Verify admin assets physically against FAR reports shared by Finance on a quarterly basis.
  • Compile information and update the monthly administration report.
  • Plan and run EPR training for support staff every month.
  • Conduct contractual consultation training for support staff once every quarter.
  • Arrange parking stickers for associates in coordination with the builder.
  • Support event management and visitor management activities.
