Role Overview
The Office Admin will oversee day-to-day office support operations to keep the workplace organized, safe, and fully functional. The role involves coordinating outsourced service providers, managing office supplies and utilities, supporting seating and space planning, and assisting with office setup, maintenance, and administrative coordination.
Key Responsibilities
- Supervise outsourced service partners across housekeeping, pantry, reception, and related support functions to ensure smooth service delivery.
- Track the use of office stationery and utility materials, making sure records are maintained accurately and items are used appropriately.
- Manage office opening and closing routines, monitor movement of office keys, and help maintain security standards at all times.
- Ensure stationery, pantry supplies, and utility items are standardized, adequately stocked, and issued through a proper system.
- Monitor office lease validity and make sure the premises remain fully operational throughout the lease period.
- Confirm that employees have appropriate seating and sufficient furniture for comfortable and efficient work.
- Keep workstations and shared areas clean, orderly, and presentable.
- Oversee pantry and cafeteria arrangements so that supplies are stocked and used effectively.
- Support the identification of new office space and assist with renovation, refurbishment, and operational launch activities.
- Help plan and optimize office seating layouts and workspace utilization.
- Coordinate uninterrupted utility services and ensure timely payments for water, electricity, telephone, data cards, internet, and other related services.
- Assist in preparing annual budget forecasts.
- Plan and execute office repair and renovation work while maintaining storage and records.
- Arrange guest house and hotel accommodation for staff, visitors, and delegates in line with office policy and partner requirements.
- Coordinate printing services and other IT-related support in collaboration with the IT team and venue manager.

This is a full-time, onsite role based in Mumbai, Maharashtra, India.
Work Environment
