Job Description

The Executive will support the Mental Health programmes through administrative and operational coordination. The role ensures smooth collaboration across internal teams, clients and external stakeholders. It also involves monitoring staff movements related to hiring, training and transfers within the organisation.

In addition, the position assists senior administrative staff in preparing reports for senior management, funders and Cluster Teams as needed. The incumbent also helps track key performance measures, supports processes and contributes to the efficient running of the Mental Health programmes.

This role further includes facilities-related support such as handling office maintenance matters, managing contracts and processing financial claims for the team.

Responsibilities

  • Oversee day-to-day administrative work, including scheduling, correspondence and documentation.
  • Coordinate office and programme logistics, facilities support, contracts and financial claims in line with organisational policies and objectives.
  • Keep accurate records for clients, stakeholders and staff while protecting confidentiality and complying with data privacy requirements.
  • Assist senior staff with monthly and quarterly reporting for funders, the C-suite and other stakeholders, including performance and outcome insights.
  • Help prepare and present data summaries and analysis for decision-making support.
  • Ensure administrative processes follow Montfort Care’s internal standards and relevant industry requirements.
  • Support routine checks, reviews or audits of documentation and administrative workflows.
  • Enter, organise and maintain programme data in the relevant systems for tracking and reporting.
  • Assist with data gathering, preprocessing and analysis, and help identify trends or useful insights.
  • Create charts and visual aids for presentations and reports.
  • Contribute to the development of Mental Health service planning documents and manuals, including setup needs such as infrastructure, manpower, training, recruitment and related processes such as outreach, screening, information-sharing, linkage and follow-up.
  • Support programme performance reviews to ensure alignment with divisional and organisational goals.

Requirements

  • A diploma in Business Administration, Social Work or a closely related discipline.
  • At least 2 years of relevant administrative experience, ideally within social services or healthcare.
  • Strong organisation and time-management abilities.
  • Careful and accurate approach to documentation and reporting.
  • Clear written and spoken communication skills.
  • Comfort using Microsoft Office tools such as Word, Excel and PowerPoint, along with database systems.
