Role overview
This position is a high-impact administrative and operations support role for the CFO and CPO. It combines classic executive assistant work — managing schedules, travel, and events — with ownership of the operating routines these leaders rely on, including meeting cadence, initiative follow-up, and OKR tracking. The company is looking for someone who uses AI to reduce repetitive work and who helps strengthen team culture.
The company is currently recruiting for two Executive Assistant openings: one focused on Finance and People & Culture, and another supporting GTM, Customer Success, and Clinical Strategy. The details below reflect the Finance and People scope, but applicants from a range of EA backgrounds are encouraged to apply.
Core responsibilities
- Take ownership of the executives’ calendars and travel plans, spotting clashes in advance, protecting focus time, and making sure each meeting is well-prepared for.
- Submit expense reports accurately and within required timelines.
- Create and manage agendas for leadership and all-hands meetings by collecting topics ahead of time, organizing priorities, and circulating pre-reads.
- Run leadership meetings, record decisions as they happen, and keep an active action log with clear owners and deadlines.
- Track outstanding items and drive them through to completion without needing reminders.
- Maintain a live view of major initiatives across both organizations and highlight risks or delays early.
- Own the OKR submission and review process, making sure leaders provide inputs on time.
- Keep key working documents up to date, including OKRs, strategic priorities, and operating frameworks.
- Use AI tools to streamline repetitive tasks such as meeting summaries, agenda preparation, status updates, and follow-up tracking.
- Recommend practical technology and workflow improvements that reflect a modern AI-assisted way of working.
- Plan and deliver offsites, quarterly events, and all-hands gatherings for both teams.
- Work with L&D and Workplace partners to create consistent, meaningful culture-building moments throughout the year.
- Coordinate with other Executive Assistants to exchange best practices and strengthen cross-team relationships.
Experience and background
- At least 4 years of experience in an Executive Assistant, Senior Executive Assistant, Operations, Business Operations, or Chief of Staff-adjacent position, ideally in a fast-growing environment.
- Experience supporting C-suite leaders or senior executives across several functions at the same time.
- A proven history of moving cross-functional work forward and getting it finished without formal authority.
- Strong comfort with AI and hands-on use of emerging tools.
- Excellent planning instincts and the ability to create structure in ambiguous situations.
- Strong communication skills, including the ability to influence senior leaders respectfully and effectively.
- Discretion when handling sensitive information, a low-ego approach, and a strong bias toward action.
- Working knowledge of Google Workspace, Slack, Notion, or similar collaboration tools.
- Exposure to Finance or People/HR work is beneficial, especially familiarity with close cycles, OKRs, or headcount planning.
Compensation and additional notes
The expected annual base pay for this role is between USD 90,000 and USD 125,000. Pay may vary based on skills, experience, qualifications, location, and other role-related factors. Base salary is only one part of total compensation; employees may also qualify for an annual bonus or commission, and some positions may include overtime pay.
