About the Role
EnerSys is a worldwide provider of stored energy solutions for industrial use, with manufacturing and assembly sites across the globe and customers in more than 100 countries. The company’s offerings include motive power and energy systems, along with integrated services and system support. In this Auckland-based coordination role, you will help deliver a smooth customer experience by making sure orders, service activity, logistics, and invoicing are handled accurately and on time.
What You’ll Do
- Manage incoming and outgoing customer phone and email communication in a prompt, courteous, and professional way.
- Share clear and accurate updates on orders, deliveries, warranty matters, and service appointments.
- Monitor products that are placed on hold and follow up with customers about expected delivery timing.
- Process warranty requests and explain the result to customers.
- Enter sales orders accurately and issue order acknowledgements.
- Work with the Sales team to ensure customer needs are fully understood and delivered.
- Coordinate with Finance when customers have gone beyond their credit limits and help support resolution and communication.
- Organise field service staff schedules and activities so customer and operational needs are met.
- Check that field resources are trained, contractor inductions are completed, supplier procedures are followed, and health, safety, and environmental requirements are maintained.
- Serve as a key communication link between customers, service technicians, and internal teams.
- Provide administrative support to Operations and meet required deadlines.
- Build, maintain, and update administrative systems and procedures so the function can continue smoothly when you are away.
- Coordinate international shipping activity with the supply chain team.
- Prepare shipping paperwork, including agreed on-site loading requirements.
- Work with the Purchasing Officer / Logistics Coordinator on stock availability and purchasing needs.
- Create and process invoices according to company procedures.
- Keep accurate records for customer orders, shipping, service work, and warranty claims.
- Help improve administrative and coordination processes over time.
- Handle customer expectations, pricing questions, and complaints effectively so outcomes align with agreed goals and KPIs.
- Take on other reasonable duties that match your capabilities and business needs.

Education and Experience
- A Certificate III or IV in Business Administration, Customer Service, Logistics, or a related field is preferred.
- Previous experience in customer service, operations, or coordination is required.
- Experience with order entry, invoicing, and ERP or CRM platforms is advantageous.
- Strong computer skills, including Microsoft Office, are essential.
- Background in scheduling service teams, logistics, or shipping is an advantage.
- Good literacy, numeracy, and communication skills are required.
- You should be able to plan and prioritise your workload effectively.
- You must be able to work as part of a team and also independently, with or without supervision.
Preferred Qualification
A bachelor’s degree in business or a related discipline would be an added advantage.
