Role overview
The Proposal Coordinator will oversee the planning and coordination of business proposals, tenders, and bids from start to finish. The role focuses on delivering accurate, compliant, and competitive responses to RFPs, RFQs, and other client requests while working closely with internal teams.
Key responsibilities
- Manage the full proposal workflow, starting from the initial request through final submission.
- Examine RFP and RFQ documents to identify key requirements, deadlines, and deliverables.
- Work with internal departments to collect the information needed for each submission.
- Make sure every response aligns with client expectations and company standards.
- Control document versions and keep all proposal materials consistent.
- Monitor deadlines and ensure proposals are delivered on time.
- Coordinate pricing inputs and commercial documents when needed.
- Provide support after submission, including clarifications, presentations, and negotiations.
- Keep a record of all proposals submitted and maintain outcome tracking, including win/loss analysis.
- Help refine proposal workflows, templates, and supporting tools over time.
Qualifications and experience
This position is based in Doha, Qatar, and is a full-time onsite role. The ideal candidate holds a bachelor’s degree in Engineering, Business Administration, or a related discipline, and brings 2 to 5 years of experience in proposal coordination, bid management, or a comparable position. Experience with tenders, RFPs, and government or corporate bid processes is considered a strong advantage.
Required skills
The role calls for strong organization, time management, and accuracy under pressure. Excellent written and verbal communication skills in English and Arabic are essential. The candidate should be comfortable collaborating with multiple teams and stakeholders, and should have experience with ERP systems such as Salesforce or proposal management software. Proficiency in Microsoft Office applications, especially Word, Excel, and PowerPoint, is also required.
