Role Overview

This position reports to the Head, Organisation & Human Resources. The Executive Assistant will deliver end-to-end secretarial and administrative support to management executives. The role suits someone who is purpose-driven, community-minded, and comfortable in a mission-led environment.

The successful candidate should be able to exercise sound judgment across a range of situations, communicate clearly in writing and speaking, and stay highly organised while managing several priorities at once. The role also requires the ability to work autonomously on assignments from start to finish, remain composed under pressure, and handle sensitive matters with discretion.

Key Responsibilities

  • Manage calendars, schedule meetings and appointments, and keep daily diaries in order.
  • Coordinate travel arrangements, prepare itineraries and agendas, and compile supporting documents for travel-related meetings.
  • Handle competing priorities efficiently and ensure tasks and projects are completed promptly, even when deadlines are tight.
  • Support a wide range of administrative activities such as claims processing, expense reporting, events, office coordination, and vendor-related tasks.
  • Assist the team with planning, coordinating, and executing corporate events in detail.
  • Organise workload each day using initiative and a solid understanding of the work, with minimal supervision.
  • Maintain strict confidentiality at all times.
  • Respond to stakeholders with professionalism, tact, sensitivity, and good judgment.
  • Carry out additional duties as needed beyond the responsibilities listed above.

Experience and Skills

The role calls for at least 10 years of experience. Strong proficiency is needed in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, as well as Adobe Acrobat.

Applicants should bring excellent written and spoken communication skills, strong attention to detail, solid organisational ability, and the capability to work independently while handling confidential information.

Additional strengths include initiative, anticipation, problem-solving, follow-up, relationship-building across all levels, sound judgment, resourcefulness, teamwork, and a consistently professional attitude.

Additional Information

The role requires the highest standards of integrity, professionalism, and discretion.
