Role Overview

This full-time remote position sits within the Shared Services Finance team and reports to the Vice President of Finance. The Payroll Coordinator is responsible for keeping payroll data accurate, calculating pay correctly, and making sure payroll practices comply with Canadian legislation and regulations.

Payroll Processing and Administration

  • Run bi-weekly payroll for salaried, hourly, and contract team members, including regular pay, overtime, and deductions across a multi-entity, multi-site environment.
  • Ensure that all payroll-related documents, including tax forms and benefit deduction information, are completed correctly.
  • Generate payroll and compensation reports, and record payroll journal entries in QuickBooks.

Compliance, Reporting, and Recordkeeping

  • Prepare and issue Records of Employment (ROEs) in line with Service Canada standards and keep ROE files properly maintained.
  • Produce and reconcile T4 and T4A slips.
  • Maintain accurate payroll files and support compliance with internal policies as well as Canadian legal requirements.
  • Keep current on payroll legislation and regulatory updates to ensure ongoing compliance.

Cross-Functional Support

  • Serve as the main contact for managers with payroll questions.
  • Work closely with HR and Finance to keep employee data accurate and payroll processing smooth.

Projects, Audits, and Continuous Improvement

  • Assist with special projects and audits when needed.
  • Take on additional duties as required, including training and professional development activities.

Qualifications

  • 3 to 5 years of Canadian payroll experience in a high-volume setting supporting a large workforce that includes employees and independent contractors.
  • Post-secondary education in a relevant field, such as an Accounting diploma, or an equivalent combination of education and experience.
  • Hands-on experience managing complex, end-to-end payroll in Canadian multi-jurisdiction and/or multi-entity environments.
  • Payroll certification such as PCP and/or CPM is preferred.
  • ADP experience is an advantage.
  • Strong computer proficiency, including Microsoft Office and advanced Excel skills.
  • Well-developed administrative and data-handling abilities, with strong attention to detail, curiosity, focus, and the ability to work under tight deadlines.
  • Comfort working in a multi-disciplinary environment and handling varied responsibilities.
  • Excellent communication and customer service abilities.
  • Ability to identify issues, respond effectively, and develop practical solutions.
  • Capable of working independently and managing several tasks and projects at the same time.
  • Professional judgment, initiative, and tact are required.
  • Working knowledge of tax law, employment/labour law, and other relevant legislation.
