Role Overview
The Product Development Coordinator helps move branded merchandise, apparel, uniform, and other custom product programs from an early concept stage to production-ready status and final release. The position is primarily centered on coordinating production, managing samples, maintaining accurate specifications, tracking approvals and timelines, and keeping communication aligned across teams and suppliers.
Working closely with Sales, Creative, Purchasing, Production, and vendor partners, the coordinator ensures that each product progresses smoothly into production with the right information, clear documentation, and timely follow-through. The role may also assist with sourcing and pricing tasks, but the main focus is product readiness, sample coordination, record accuracy, and project management.
Key Responsibilities
Product Development and Production Readiness
- Guide assigned products from initial concept through approved handoff for production.
- Handle sample requests, prototype movement, revisions, approvals, and pre-production sample management.
- Keep product details current, including specs, artwork information, materials, colors, sizing, packaging notes, and production requirements.
- Monitor timelines and check in with suppliers and internal partners to keep projects on schedule.
- Spot delays, missing information, or production concerns and raise them when needed.
- Support the shift from approved sample/specification to purchase order, production release, and execution.
Sample and Approval Coordination
- Oversee sample tracking across multiple active projects.
- Arrange internal reviews with Sales, Creative, Purchasing, and Production teams.
- Record comments, revisions, approvals, and final production choices.
- Make sure approved samples and specs are clearly shared before production starts.
Supplier and Production Coordination
- Act as a daily contact for suppliers regarding development, sample status, schedules, production readiness, and issue resolution.
- Track supplier commitments, lead times, sample arrival estimates, production status, and delivery risks.
- Support reorder coordination and continuity for existing customer programs.
- Help resolve production issues related to quality, timing, specifications, packaging, or communication.
Cross-Functional Execution
- Coordinate assigned product development and production work across internal departments.
- Maintain project trackers, action lists, timelines, and status updates.
- Support large customer programs, seasonal launches, recurring orders, and custom development projects.
- Assist with internal order-release activities in collaboration with the broader team.
Sourcing and Pricing Support
- Support sourcing requests by gathering supplier options, product information, cost inputs, and availability when needed.
- Assist with pricing submissions, costing sheets, and follow-up on supplier quotes.
- Confirm that pricing inputs are complete, organized, and properly documented internally.
Process and Documentation
- Maintain accurate records for production, product development, suppliers, and costing.
- Help improve trackers, approval workflows, and communication tools.
- Support consistency across development, sampling, approvals, and production handoff processes.
Qualifications
The ideal candidate should bring a bachelor’s degree in a relevant field such as business, supply chain management, product development, fashion merchandising, marketing, or a related discipline, though this is preferred rather than mandatory. The role calls for 1 to 3+ years of experience in sourcing, product development, procurement, merchandising, project coordination, supplier management, or a similar function.
Strong candidates will be able to manage several projects, deadlines, and relationships at the same time without losing track of details. A solid understanding of product development workflows, sourcing practices, costing methods, and supplier management is important, along with excellent organization, analysis, problem-solving, and precision.
Clear verbal and written communication, strong collaboration skills, and advanced capability with Microsoft Excel, Outlook, and other productivity tools are expected. Background in promotional products, branded merchandise, apparel, or uniform programs is highly desirable. Experience with ERP, sourcing, or product lifecycle management systems is considered an advantage.

Compensation and Benefits
The annual salary range for this role is $55,000 to $70,000, depending on experience and qualifications. The position is also eligible for a discretionary annual bonus.
