REVOIC is an Amazon-focused agency based in Cologne that helps manufacturers and brands perform strongly on Amazon. The company supports well-known names across advertising, content, account management, strategy, brokerage, and distribution, and is growing quickly.

As the business expands, the operational setup becomes more complex: more retainers, more stakeholders, more simultaneous projects, more interfaces, and more decisions. To keep performance scalable, the team is looking for someone who can improve systems in a digital and AI-enabled way rather than simply adding coordination capacity.

They are hiring an Operations & Process Optimization Manager (m/w/x) as soon as possible for a full-time role in Cologne-Ehrenfeld.

Role purpose

This is not a traditional assistant or administrative position. The role is centered on examining internal workflows critically, exposing blockers, and redesigning processes so the team can work faster, cleaner, and more reliably.

The ideal candidate will look objectively at structures, routines, and handovers, asking why work is done a certain way, where duplication or delays occur, which information is missing, what can be standardized or automated, and how to reduce dependency on individual people.

The job calls for someone who thinks carefully, analyzes thoroughly, and implements pragmatically. The focus is not only on spotting issues, but on building solutions, increasingly with AI agents, automation, and digital workflows.

Key responsibilities

• Review workflows across retainers, projects, and internal operations to spot inefficiencies, repeated work, unclear ownership, and recurring bottlenecks.
• Design practical improvements to how the team works, such as clearer briefs, better handovers, tighter alignment routines, more reliable status tracking, and stronger QA steps.
• Maintain the central project and retainer board so status, next actions, owners, and deadlines remain transparent and dependable.
• Turn incoming requests into execution-ready work by clarifying missing details, sharpening requirements, pushing for decisions, and defining the next steps.
• Detect early when work gets stuck, scope expands unnecessarily, or responsibilities are unclear, and surface these issues in a factual way.
• Prepare internal meetings and alignments so they lead to decisions instead of just more discussion.
• Use AI tools actively to reduce repetitive work, for example in meeting notes, summaries, status updates, QA checklists, documentation, or reusable text blocks.
• Design and build AI-supported workflows, agents, and automations that digitize and measurably improve internal processes in areas such as reporting, documentation, handovers, status updates, quality checks, and knowledge management.
• Work with tools such as Make.com, Zapier, n8n, Langdock, ChatGPT/Custom GPTs, or similar systems, or be able to learn them quickly and in a structured way.
• Translate recurring operational problems into clear workflow logic, including triggers, inputs, outputs, responsibilities, checks, and escalation paths.
• Document working standards in a way that makes them useful, understandable, and repeatable for the team.

Requirements

• A strong Master’s degree, or an equivalent qualification that demonstrates analytical thinking, structure, and independence, is preferred.
• At least 6 months of relevant hands-on experience in organization, project management, process optimization, operations, consulting, agency work, or a similar environment, gained for example through an internship, working-student role, trainee program, or first permanent position.
• A systems-oriented mindset: interest in not just whether something gets done, but why it is done that way and whether there is a better approach.
• A rational, thorough, and dependable working style with the ability to identify patterns, ask precise questions, and follow through properly.
• Confidence in naming inefficiencies and requesting decisions in a respectful, solution-oriented manner.
• Strong communication skills and the ability to present information so others can quickly understand the situation and action required.
• Very strong German skills at negotiation level, both written and spoken.
• Very good English skills, since part of the tools, documentation, and communication are international or English-language.
• Solid experience with Google Workspace and/or MS Office, especially Docs/Sheets or Word/Excel.
• Practical experience with AI tools, automation platforms, or workflow builders such as Make.com, Zapier, n8n, Langdock, ChatGPT/Custom GPTs, or similar solutions, with the ability to turn them into process improvements.
• An understanding of digital workflows as a tool to standardize repeat work, protect quality, and increase operational speed.
• Nice-to-have experience with Notion, Asana, Jira, ClickUp, or comparable project management tools; low-code/no-code automation; AI agents or custom GPTs; agency, consulting, e-commerce, or fast-growing team environments; and basic knowledge of Amazon, marketplaces, or digital business models.

Working conditions

The position is a permanent full-time role with 40 hours per week. Start is possible immediately. The workplace is Cologne-Ehrenfeld, and this is not a remote-only job.
