Logistics Coordinator

Job Summary

We are looking for a seasoned Logistics Coordinator with experience in fashion or apparel and a strong service-oriented mindset. In this position, you will oversee the full logistics flow to support timely delivery of fashion products while maintaining a high standard of support for internal teams and customers. The role suits someone who performs well in a fast-moving, deadline-sensitive setting and understands the importance of seasonal launches and retail schedules.

Logistics & Supply Chain

• Handle inbound and outbound movement of apparel and fashion merchandise, including bulk orders, samples, and seasonal lines.
• Coordinate and maintain working relationships with suppliers, 3PL providers, and customers.
• Draft, check, and manage shipping paperwork such as commercial invoices, packing lists, bills of lading, and customs records.
• Monitor shipments to support on-time delivery in line with production timelines, store openings, and e-commerce commitments.
• Track inventory flows and assist with allocation to customers.
• Communicate with suppliers, manufacturers, and vendors to follow up on production progress and product readiness.
• Ensure purchase orders are confirmed, kept current, and aligned with production schedules.
• Address mismatches in quantities, quality documents, packing lists, and shipment information.
• Watch lead times closely and flag any delays early to the relevant teams.

Fashion Industry Operations

• Support seasonal rollouts, promotions, and high-volume periods by keeping logistics fully prepared for execution.
• Arrange sample shipments for merchandising, marketing, and sales teams.
• Oversee returns, exchanges, and damaged items according to brand and retail standards.
• Partner with production, merchandising, and planning teams to align logistics with demand forecasts.

Customer Service & Communication

• Serve as a main contact for internal stakeholders and external customers on order progress and delivery schedules.
• Share shipment status, exceptions, and delay updates proactively to reduce customer impact.
• Handle logistics-related questions, claims, and escalations in a professional and efficient manner.
• Consistently meet service-level commitments and customer expectations.

Process Improvement & Compliance

• Follow transportation rules, customs requirements, and company policies.
• Keep logistics records accurate and up to date in ERP and reporting systems.
• Provide shipment updates, delivery risk information, and logistics KPI reports to stakeholders.

Administrative & System Management

• Maintain precise logistics data in internal tools such as ERP, WMS, and Excel trackers.
• Prepare weekly and monthly reports covering shipments, delays, and supplier performance.
• Ensure adherence to company policies, sustainability expectations, and industry regulations.

Qualifications

• 3 to 5 years of experience in logistics or supply chain, ideally in fashion, apparel, or retail.
• Solid customer service experience with exposure to client or stakeholder communication.
• Working knowledge of domestic and international fashion supply chains and seasonal operating cycles.
• Strong organization and communication abilities.
• Comfort working across multiple priorities in a fast-paced, deadline-driven environment.
• Hands-on proficiency with MS Office and logistics or ERP platforms such as SAP, NetSuite, or similar tools.

Preferred Qualifications

• A bachelor’s degree in Logistics or a related discipline is preferred.
• At least 2 years of logistics or supply chain experience, preferably in fashion, apparel, or retail.
• Good understanding of international shipping, customs processes, and warehouse functions.
• Experience with ERP/WMS systems and strong MS Excel skills, including VLOOKUP and pivot tables.
• Strong communication, negotiation, and problem-solving capabilities.
• Ability to stay effective under pressure while managing several priorities at once.
• Experience working with overseas suppliers in regions such as China, India, Turkey, and Europe.
