Role overview
As a Community Associate, you will be the first person clients and visitors meet, so your presence will shape the company’s overall impression. The role combines front-desk hospitality, customer service, light administration, safety awareness, and community building to keep daily operations running smoothly at the facility.
You will support both guests and the internal team by handling check-ins, registrations, visitor tracking, booking systems, and reception duties. You will also help plan and coordinate events that strengthen relationships within the community.
Key responsibilities
- Offer a welcoming and professional reception to clients, guests, and members arriving at the workspace.
- Register visitors and new members, support onboarding, and issue access cards or keys when required.
- Respond to questions, share information about services, and help with needs such as meeting room reservations or issue resolution.
- Coordinate networking sessions, workshops, seminars, and social events that improve the community experience.
- Receive, sort, and hand out mail and packages while tracking incoming and outgoing deliveries.
- Support booking requests for meeting rooms, work areas, and shared facilities, ensuring records are accurate and spaces are ready.
- Maintain visitor logs, provide badges, and follow security procedures for all guest entry.
- Assist with office administration such as photocopying, filing, data entry, and supply management.
- Watch the reception area for security concerns, report suspicious activity, and escalate any unauthorized entry or free-loading to security promptly.
- Keep the front desk, common areas, and surrounding spaces clean, organised, and presentable.
- Build strong client relationships and serve as a bridge between members and the management team.
- Help manage meeting room calendars and resolve scheduling conflicts quickly.
- Support the operations team by helping maintain safe, clean, and well-run facilities and by coordinating with vendors to ensure their work meets schedules and requirements.
Requirements
- High school completion or an equivalent qualification is required; extra education, certifications, or experience in customer service or hospitality is an advantage.
- Prior experience in reception, front desk, or customer service roles is preferred.
- Strong verbal and interpersonal communication skills are essential, with complete fluency in English. Knowledge of Kannada, Tulu, and Hindi is a strong plus.
- Good organisational skills and the ability to manage multiple tasks at once are needed.
- Comfort using office equipment and basic computer applications such as Microsoft Office is expected; experience with booking or vendor management systems is beneficial.
- A warm, professional attitude and a strong commitment to excellent service are important.
- Understanding of co-working spaces, start-ups, and business operations will be an added advantage.
- You should be calm, diplomatic, and able to handle difficult or aggressive situations without escalating conflict.
